Privacy Policy
Effective date: October 13th 2026
1. About this policy
RE/MAX Delta Realty (the "Brokerage", "we", "us" or "our") is a real estate brokerage registered in Ontario under the Trust in Real Estate Services Act, 2002. The Brokerage is responsible for the personal information in its custody and control, and this policy explains what we collect, why we collect it, who we share it with, and the choices available to you.
This policy applies to personal information the Brokerage collects through its website at https://remaxdeltarealty.com, through its forms and communications, and in the course of representing clients and customers in real estate transactions.
The Brokerage is governed by the federal Personal Information Protection and Electronic Documents Act (PIPEDA), which applies to private-sector organizations in Ontario.
2. What we collect
Information you give us. Your name, email address, telephone number and mailing address; details about the property you want to buy, sell or lease; your budget, timeline and preferences; and anything else you choose to tell us in a form, an email, a text message or a conversation.
Information we are required to collect. Before the Brokerage can act for you in a transaction, the law requires us to verify who you are. This includes your date of birth and occupation, and a review of government-issued photo identification. These requirements come from the Proceeds of Crime (Money Laundering) and Terrorist Financing Act and the rules of the Financial Transactions and Reports Analysis Centre of Canada (FINTRAC). We may also collect financial information needed to complete a transaction, such as deposit details or proof of mortgage pre-approval.
Information collected automatically. When you visit our website, our systems and our analytics provider record technical information such as your IP address, browser type, device type, the pages you view, the time of your visit and the site that referred you. We use cookies and similar technologies for this purpose. See Section 10.
Recrutement. If you apply to join the Brokerage, we collect the information in your application, including your resumé, education, work history and registration status with the Real Estate Council of Ontario.
3. Why we collect it
The Brokerage uses personal information to:
provide the real estate services you ask us for, including showing, listing, marketing and negotiating on your behalf;
prepare, complete and keep records of transaction documents;
verify your identity and meet our obligations under TRESA, the RECO Code of Ethics and FINTRAC rules;
respond to your questions and send you the property information or alerts you have asked for;
send you newsletters, market updates and other marketing messages, where you have consented to receive them;
improve our website and understand how visitors use it;
administer our business, including billing, accounting and resolving disputes.
We do not sell personal information.
4. Consent
We collect, use and disclose personal information with your consent, except where the law allows or requires us to act without it.
You give consent when you provide information to us directly, sign a representation agreement, or check a box to receive communications. For sensitive information such as financial details, we ask for express consent.
You may withdraw your consent at any time by contacting us at reception@remaxdeltarealty.com, subject to legal and contractual restrictions. Withdrawing consent may mean the Brokerage can no longer provide certain services to you. You can stop receiving marketing messages at any time using the unsubscribe link in any message, without affecting our ability to serve you.
5. Who we share it with
We share personal information only as needed to deliver our services or meet a legal obligation:
Our brokers, salespersons and administrative staff, who need it to work on your file.
The Ottawa Real Estate Board (OREB), and any other real estate board or association of which the Brokerage is a member. If you list a property with the Brokerage, listing information is distributed through the MLS® System, published on REALTOR.ca and other websites, and retained by the board or association for historical and statistical purposes. Listing information about a property is not confidential once published.
Other parties to the transaction, including the other party's brokerage, your lawyer, your mortgage professional, appraisers, inspectors and, where applicable, the Land Registry.
Service providers who host our website, manage our customer database, send our email, or provide document management, under agreements requiring them to protect the information and use it only for the services they provide to us.
Government and regulatory bodies, including FINTRAC and RECO, where required by law.
The Brokerage is an independently owned and operated RE/MAX Canada franchise. We may share limited information with RE/MAX Canada entities where required by our franchise agreement. Those entities have their own privacy notices, which do not apply to the information you give the Brokerage directly.
6. Where your information is stored
Some of our service providers store or process information outside Canada, including in the United States. Information held in another country may be accessed by the courts and authorities of that country under its laws. The Brokerage selects providers that offer a comparable level of protection and requires that protection by contract.
7. How we protect it
We use physical, administrative and technical safeguards appropriate to the sensitivity of the information. These include restricting access to staff who need it, requiring confidentiality agreements, keeping paper files in secured premises, encrypting website traffic, and using password-protected systems for electronic records.
No system is completely secure, and we cannot guarantee absolute security. If a breach creates a real risk of significant harm to you, the Brokerage will notify you and report it to the Privacy Commissioner of Canada as required by PIPEDA. We keep records of all breaches for at least 24 months.
8. How long we keep it
The Brokerage keeps personal information only as long as needed for the purposes described above or as required by law, whichever is longer.
Transaction records: at least six years after the transaction is completed (O. Reg. 579/05 under TRESA).
Written offers that were not accepted: at least one year after we received them.
Client identification and transaction records under FINTRAC rules: at least five years.
Marketing contact information: until you unsubscribe or ask us to delete it.
When information is no longer needed, we destroy it securely or remove the details that identify you.
9. Your rights
You may ask the Brokerage for access to the personal information we hold about you, and ask us to correct anything that is inaccurate or incomplete. Send your request to reception@remaxdeltarealty.com or to the address in Section 12.
We will confirm your identity and respond within 30 days. PIPEDA allows us to extend that period by up to 30 more days in limited circumstances; if we do, we will tell you in writing and explain why. Access is normally free. If there is a cost to reproduce or transmit the information, we will tell you the amount before we proceed so you can decide whether to continue.
In some cases the law requires or permits us to refuse access, for example where the information contains personal information about another person. If we refuse, we will explain why in writing and tell you how to challenge our decision.
10. Cookies and analytics
Our website uses cookies to keep the site working, remember your preferences, and measure traffic. We use [analytics provider, e.g. Google Analytics] for website statistics. You can set your browser to refuse cookies or alert you when one is set. Some parts of the site may not work properly if you do.
11. Other websites
Our website links to other sites, including REALTOR.ca and third-party tools. The Brokerage does not control those sites and this policy does not apply to them. Review their own privacy policies before providing information to them.
12. Contact us and how to complain
Our Privacy Officer is responsible for our compliance with this policy. Contact us with any question, request or complaint:
